Chain of Custody Certification

Within Truly Organic, aggregators, processors, and distributors are not intermediaries.

They are certified custodians of organic integrity. If control breaks beyond the farm, certification collapses. For this reason, every entity handling certified product operates inside the same enforced system — with no separation between production and distribution control.

 Custodianship, Not Handling

Supply chain participants are not certified for movement.

They are certified for preservation.

Certification exists only where:

  • Product identity remains intact
  • Segregation is absolute
  • Traceability is continuous
  • Handling conditions are controlled and verifiable

Integrity is not transferred.
It is protected — or it is lost.

System Entry is Conditional

Access to Truly Organic product is not open.

No aggregator, processor, or distributor may handle certified product unless fully integrated into the system.

Activation requires:

  • Complete onboarding into the traceability infrastructure
  • Defined intake, processing, storage, and dispatch protocols
  • Physical segregation aligned to certification tiers
  • Proven batch-level tracking capability

Until then:
No access.
No movement.
No certification.

Controlled Movement Architecture

Every movement is recorded.
Every transformation is accountable.

System-Controlled Functions:

  • Intake validation against registered batch identity
  • Tier-segregated storage environments
  • Processing with full input-output reconciliation
  • Batch transformation mapping
  • Dispatch with logged custody transfer

At all times:

  • Certified and non-certified flows cannot intersect
  • Tier levels cannot be diluted
  • Every unit remains traceable to origin

If traceability fails, certification ends.

Processing Without Compromise

Processing is where most systems fail.
This is where Truly Organic tightens control.

All processing environments must operate under:

  • Approved input-only systems
  • Full batch transformation traceability
  • Yield validation across all outputs
  • Contamination prevention at every stage

Certification is not inherited through processing. It must be re-proven through it.

 Continuous Verification

There is no audit cycle.
There is only active compliance.

All custodians operate under:

  • Rolling verification cycles
  • Unannounced inspections
  • Real-time documentation validation
  • Live traceability cross-checking

Compliance is not revisited.
It is maintained — continuously.

 Certification Tier Progression

Custodians operate within a time weighted hierarchy — where status is earned through sustained control.

Certification Levels:

Custodian In Conversion
System onboarding under active supervision

Certified Custodian
Fully compliant across all handling and traceability requirements

Custodian Gold
Minimum 3 consecutive years of uninterrupted, verified compliance

Custodian Platinum
Minimum 7 consecutive years of uninterrupted, verified compliance

Progression requires:

  • Zero traceability failures
  • Zero contamination events
  • Continuous system alignment across all batches

Any breach results in:

  • Immediate revocation
  • Batch invalidation
  • Re-entry at conversion level

No continuity is preserved after failure.

Custodians within the Truly Organic system are authorised to identify themselves as one of the above Custodian tier levels dependant on their certification level , reflecting their verified role in preserving organic integrity throughout handling, processing, and distribution.

However, this designation does not replace or override product-level certification. Every unit must continue to carry the original organic status assigned at farm level — whether Organic In Conversion, Certified Organic, Organic Gold, or Organic Platinum — exactly as received.

At no point may custodians elevate, reinterpret, or relabel product status.
Their responsibility is not to redefine integrity, but to maintain it without deviation.

Custodian certification exists in parallel with product certification — one verifies the system of control, the other verifies the integrity of the product itself.

Commercial Positioning Power

Certification is not only operational — it is economic.

Higher-tier custodians unlock:

  • Preferential allocation of high-value certified product
  • Priority positioning within retailer networks
  • Increased margin potential through verified integrity
  • Long-term supply agreements with premium producers

Retailers do not source randomly.
They source where risk is lowest and integrity is proven.

Tier status determines access.

No Parallel Systems

There is no dual operation.

Custodians cannot:

  • Run certified and non-certified flows without absolute segregation
  • Move product under the truly organic certification outside the system
  • Maintain unregistered stock

Anything outside the system is not recognised.

Anything unrecorded is not certified.

 Retail Enforcement

Responsibility does not end at dispatch.

Custodians remain accountable through to retail placement:

  • Verified batch allocation
  • Maintained certification status in transit
  • Alignment between physical stock and system records

Any inconsistency triggers:

  • Immediate escalation
  • Product withdrawal
  • Full chain trace-back

Integrity is enforced to the shelf.

System Dependence

Certification does not travel with the product.
It exists within the system. If a product leaves the system, It leaves certification.

The Economics of Integrity

Farmers build integrity.
Custodians scale it.

The stronger the custodial layer:

  • The higher the trust
  • The stronger the retail relationships
  • The greater the commercial return
